A message can be perfectly clear in your head and still land badly.

Often, the problem is not what you said. It is where you said it.

A detailed email can be useful when a project needs documentation, decisions need to be recorded, or people need time to review information. But when an issue is complex, emotional, or likely to create confusion, email can become a long game of replies, assumptions, and missed context.

That is when a conversation is usually better.

The same applies in reverse. Not every message deserves a meeting. Scheduling a video call just to say “great work” may be more disruptive than encouraging. A quick message of recognition can be enough.

Good communication is not about using the channel you prefer. It is about choosing the channel that best serves the message and the person receiving it.

Before you hit send, ask a few simple questions:

Does this need a fast answer?
Does it need a written record?
Could tone be misunderstood?
Is there disagreement that would be easier to resolve in real time?
Is this important enough to deserve someone’s full attention?

A short message may be ideal for a simple update. A phone call may prevent days of unnecessary back-and-forth. A meeting may be valuable when a decision affects several people and everyone needs to leave with shared clarity.

The wrong channel creates friction. It can make a small issue feel bigger, turn recognition into interruption, or leave people guessing at what was really meant.

The right channel does something more useful. It respects people’s time, reduces confusion, and helps work move forward.

Communication is not only about saying the right thing.

It is also about giving the message the right room to be heard.
